PANEL CONTRACTS

The Objective

PYXIS Solutions is looking enhancing our capability to respond to IT panel tenders for government contracts. I would like to make contact with independent consultants and contractors with a view to being able to make winning submissions based on the range and calibre of personnel who can be brought to the party.

As a member of the ACS I value the ACS codes of conduct and extend this invitation to ACS members and general contractors at large.

All information supplied will be treated in accordance with the PYXIS Privacy Policy and will not be used for any other purpose than that detailed below.

The prime objectives are to be able to respond as a supplier to panel contracts, and other tender opportunities by agreement with individual contractors, consultants and casual employees:

  • In timely and efficient manner;

  • With professional and quality resources;

  • With reduced overheads;

  • With realistic expectations of all parties;

  • With demonstrated relationships in place;

What is a Panel Contract?

IT panel contracts are advertised for a prime contractor to supply IT services for periods of several years. Once a panel is formed the opportunities to work at the site may be limited to panel members and it may take many years for another opportunity. Panels may be restrictive or open, but cannot accept suppliers once the panels are established, unless a mid-term intake is advertised. Open panels accept any supplier with a view to providing the customer with a wider range of options as possible, whilst restrictive tenders aim for a minimal number of suppliers, possibly in an out-sourcing arrangement. There are a wide range of scenarios possible and each needs to be addressed on its own requirements.

Panels may be advertised as a Request for Information (RFI/ROI) or Request for Tender (RFT). The RFI is a qualifying process to narrow down the large number of respondents.

Acceptance of a supplier on a panel does not guarentee that any contract work will result from being on that panel.

Also, the management processes of participating on a panel varies from minimal to significant.

The Challenge

In order to adequately respond to a Request for Tender or Request for Information there are several key success factors that must be met, including the capability of the respondent to manage a supply contract, adequate resources of the right calibre, experience and pricing.

Most importantly, adequate time is required to prepare the submission, it is not a task that can be completed in a few days, as the cost of tendering (time and effort) can be significant. Therefore PYXIS is taking this step to provide a better option to meet our requirements.

What is Needed from You

The purpose of the strategy is to have prepared information that can be added to a submission quickly. As time is limited, and the submission may be put together outside of working hours, the time to contact a number of resources may be unfeasible if left too late. Therefore as a minimum head start the following details would be required.

  • Contact email and phone number - this is very important to minimise time for preparation;

  • Your own curriculum vitae (CV or resume);

  • Your skills matrix - what your are best at;

  • Time out for a brief meeting, preferably in person.
